What You Can Do with aicente Teams
With aicente Teams, you can invite an unlimited number of collaborators to your workspace. Each team member gets their own login and can access the tools and data you authorize. Admins can assign roles — Admin, Manager, or Member — and control exactly which features each person can see and edit. Team activity is logged automatically so you can see who updated a deal, sent a proposal, or dispatched a driver.
Shared Pipeline and CRM
Your entire sales pipeline is visible to everyone on the team who needs to see it. Assign contacts and deals to specific team members, leave internal notes on contact records, @mention teammates in deal activity feeds, and set reminders that notify the right person at the right time. No more losing deals because the person who owned the contact left the company — everything lives in the shared workspace.
Collaborative Proposals and Contracts
Multiple team members can collaborate on proposals before they go out to clients. Leave comments on sections, suggest edits, and mark proposals as ready for review. Once approved, send for e-signature directly from Action Sign. All signed documents are accessible to authorized team members immediately — no emailing PDFs back and forth.
Team Billing and Invoicing
Action Invoicing supports team-based billing workflows. Managing Your aicente Team Workspace
The aicente Teams workspace lets you manage everyone who has access to your organization's account. As an admin, you can invite members by email, assign roles, configure tool-level permissions, and review team activity — all from one dashboard without contacting support.
Roles and Permissions
aicente Teams supports four access levels: Owner, Admin, Member, and Viewer. Owners control billing, integrations, and team membership. Admins manage users and configure tools. Members access the tools assigned to their role. Viewers see dashboards and reports without editing data. Each role can be further restricted at the tool level — for example, giving a team member access to Action CRM but not Action Invoicing.
Inviting Team Members
Enter a team member's email address, select their role, and choose which tools they should have access to. They receive an invitation email and can join immediately with a free aicente account or an existing account. Pending invitations remain active for 7 days and can be resent or revoked from the team management panel.
Activity and Audit Logs
The activity log shows a full history of team actions — who created a proposal, which user sent an invoice, when a document was signed, which team member dispatched a driver. Audit logs help managers review productivity and maintain accountability across distributed teams. Logs are retained for 12 months on standard plans.
Collaboration Across Tools
Team members collaborate across every aicente tool in real time. In Action CRM, multiple members can own different deals in the same pipeline. In Action Sign, designated signers receive routing notifications automatically. In Action Dispatcher, dispatchers and drivers share live status updates. Notes, tasks, and file attachments are visible to all members with appropriate access.
Billing and Seat Management
aicente charges per workspace rather than per seat on most plans, meaning adding team members does not automatically increase your bill. Enterprise plans include custom seat limits and dedicated support. Review team size, active users, and tool usage from the billing section of your workspace settings to optimize your plan as your team scales.
Onboarding New Team Members
New team members see only the tools and data their role permits. Owners can create a short onboarding checklist pinned to the workspace dashboard so new hires know exactly what to set up on their first day. For larger teams, aicente Enterprise includes a dedicated onboarding specialist who configures the workspace, imports existing data, and trains your team.

Security and Access Control
Every team member accesses aicente through their own individual login with a unique password. Shared credentials are not supported — each account is tied to a verified email address. Admins can revoke access instantly from the team management panel if an employee leaves or changes roles. Session tokens expire after periods of inactivity, and all data transmitted between team members and the aicente platform is encrypted in transit. For enterprise teams with specific compliance requirements, aicente supports SSO integration and IP allowlisting as part of the enterprise plan.
Team Communication and Coordination
Beyond tool access, aicente Teams supports shared notes, internal task assignments, and @mention notifications within deal records, proposals, and calendar events. When a team member updates a deal stage in Action CRM, relevant teammates are notified. When a dispatcher reassigns a driver in Action Dispatcher, the change is visible to all users with fleet access in real time. Team coordination happens inside the workflow rather than in a separate messaging thread — keeping context where it belongs.
