How to run webinar invitations and reminders

Invite, remind the day before, and remind again an hour out. The hour-out reminder is what actually fills the room.

Before you start

The hour-out reminder is what fills the room. Registration-to-attendance is routinely under half, and most of the gap is people who meant to come and were doing something else when it started. Keep that last email to one line and the join link.

You will need: a list or form for signups, three campaigns.

How to set it up

  1. 1Point your registration form at this workflow and choose the Webinar invitation template.
  2. 2Assign the confirmation campaign, with the date, the time including the timezone, and the join link.
  3. 3Assign the day-before reminder.
  4. 4Assign the hour-before reminder. One line and the link.
  5. 5Adjust the two waits so they land relative to your actual event time.
  6. 6Activate.

What goes wrong

  • A local-hour hold on the final reminder. A webinar happens at a fixed moment, so holding the reminder to 9am local sends it after the event for half the list. The template deliberately leaves that off.
  • Only sending the confirmation. Registration is not attendance, and without reminders roughly half the room does not arrive.
